What is an equipment register?
An equipment register is a master list of all the equipment your company owns. A good equipment register for construction should include, at minimum:
- Item description (what it is)
- Serial number or asset tag (which specific unit it is)
- Category and type (for filtering and reporting)
- Current status (available, allocated, damaged, written off)
- Current location (which site it's at)
- Current holder (which crew member has it, if allocated)
- Purchase date and estimated value (for insurance and accounting)

How to use this template
Step 1: Populate the Item Details columns
Start by listing all your equipment. Assign each item an asset tag (a short reference like ET-001, ET-002). Record the description, serial number, category, purchase date, and value. This is the static part of your register — it rarely changes.
Step 2: Set up your Status column
Use consistent status values across all rows. We recommend:
- Available — in the warehouse or depot, ready to use
- Allocated — currently with a crew member or on a site
- In transfer — en route between sites
- Damaged — present but not serviceable
- Written off — no longer in service
- Lost — cannot be located
Step 3: Update Location and Holder on every movement
This is where most teams fall apart. The Location and Holder columns must be updated every time equipment moves. If you allocate a drill to a crew member, update the row immediately. Don't wait until the end of the day.
Assign one person per site to own updates for their location. Without clear ownership, the spreadsheet falls out of date within days.
Step 4: Run a stock take monthly
Walk through each site once a month and verify the register against reality. Mark any discrepancies. Investigate anything that's listed as "Available" but isn't physically present.

The limitation of an Excel equipment register
An Excel equipment register is better than nothing. But it has a fundamental problem: it only reflects reality at the moment it was last updated. In practice, this means your register is always slightly behind, and the older the update, the less you can trust it.
The most common failure mode: the register is updated by one person, at one location, at the end of their shift. Any movement that happened that day but wasn't captured is invisible. Equipment goes missing, nobody realises, and by the time anyone investigates, it's too late to trace.
